Recordings may be processed using secure transcription software provided by Fathom. Fathom operates as a third-party data processor and processes data in accordance with its own privacy and security policies.

Personal data is minimised wherever possible. Audio recordings are retained only for the minimum necessary period and are securely deleted following transcription. Transcripts are stored securely in line with data protection principles.

Clients may decline recording or withdraw consent at any time without affecting access to coaching services.

No recordings are used for marketing, training or shared with third parties.

All coaching services are delivered within a non-clinical, ethical framework.

Confidentiality is maintained at all times except where:

• There is a risk of serious harm to the individual or others
   
• Safeguarding concerns arise
   
• Disclosure is required by law
   

Any disclosure will be proportionate and in line with safeguarding responsibilities.

Appropriate technical and organisational measures are in place to protect personal data, including:

• Password-protected and encrypted digital systems
   
• Restricted access to coaching records
   
• Secure storage of session notes
   
• Secure communication platforms
   

Access to personal data is limited to the Data Controller.

Personal data is retained only for as long as necessary to:

Coaching records are typically retained for up to six (6) years following the conclusion of services unless otherwise required by contract or law.

Audio recordings are deleted promptly following transcription.
